Creating & Managing Playbooks

Why Playbooks Matter

Playbooks are the knowledge foundation for AI coaching. When team members ask questions, the AI searches your playbooks to provide guidance aligned with your sales methodology.

Accessing Playbook Management

Go to Playbooks in the sidebar, then click Manage Playbooks (Admin only).

Creating a New Playbook

Step 1: Click "New Playbook"

Click the New Playbook button in the top right.

Step 2: Add Content

You have two options:

Option A: Upload a Document

  • Click Upload Document

  • Select a file (PDF, Word, Google Doc, etc.)

  • Content is automatically extracted

Option B: Write Directly

  • Use the markdown editor

  • Format with headings, lists, and bold text

Step 3: Set Metadata

  • Title - Clear, descriptive name

  • Category - Optional grouping (e.g., "Discovery", "Objection Handling")

Step 4: Save

Click Save to create the playbook. It will be automatically indexed for AI search.

Bulk Upload

Upload multiple playbooks at once:

  1. Click Bulk Upload

  2. Select multiple document files

  3. For each file, enter:

- Title

- Category (optional)

  1. Progress shows parsing, uploading, and indexing status

  2. All playbooks are indexed when complete

Editing Playbooks

  1. Find the playbook in your list

  2. Click the Edit button

  3. Update content or metadata

  4. Click Save

  5. The AI index updates automatically

Re-indexing

If AI responses aren't finding your content:

  1. Open the playbook

  2. Click Re-index

  3. Wait for confirmation

Or use Bulk Re-index to refresh all playbooks at once.

Deleting Playbooks

  1. Find the playbook

  2. Click the Delete button

  3. Confirm the deletion

Deleted playbooks are immediately removed from AI search.

Best Practices

Content Tips

  • Use clear headings to organize sections

  • Include specific examples and scripts

  • Keep individual playbooks focused on one topic

  • Use bullet points for easy scanning

Organization Tips

  • Create consistent categories

  • Use descriptive titles

  • Review and update quarterly

  • Remove outdated content

Who Can Manage Playbooks

  • Company Admins - Full create, edit, delete access

  • Team Members - View only (see "Viewing Company Playbooks" guide)
